Why Doesn't My GetYourGuide Invoice Match My Payment?

Invoice says one number. GetYourGuide payment says another. Your bank may have joined in with a third. Before we accuse mathematics of misconduct, here's how to work out where the difference actually came from.

Three numbers. One payout. Lovely.

You open your GetYourGuide invoice. It says one amount.

You check the payment confirmation. That's another amount.

Then you look at your bank account and, just for a bit of extra entertainment, that might show something different again.

Wonderful.

If you're staring at those numbers wondering whether you've misunderstood something, GetYourGuide has misunderstood something, your bank has eaten something, or basic mathematics has simply packed its bags and left the building, you're in the right place.

The reassuring bit is that different numbers do not automatically mean something is wrong. GetYourGuide's own supplier documentation explains several perfectly legitimate reasons why an invoice, payment confirmation and final bank amount may differ.

The slightly less reassuring bit is that you still have to work out which reason applies to your payout.

So, kettle on. Let's have a look.

Find the first point where the number changes. That immediately tells you which part of the payout deserves your attention.

First, these three numbers are not necessarily the same thing

This is probably the most useful thing to understand before disappearing down a spreadsheet-shaped rabbit hole.

Your GetYourGuide invoice contains the bookings for the invoice period together with commission, manual adjustments and other relevant entries. Your payment confirmation shows what was included in a particular payment. Your bank amount is what finally arrived after the payment travelled through the banking system.

Sometimes they match beautifully. Very nice. Everybody gets a biscuit.

But GetYourGuide also says a payment confirmation PDF contains the invoice number or invoice numbers included in that payment. In other words, one payment can cover more than one invoice. That alone can make a one-to-one comparison look wrong when it isn't.

1. Check whether one payment covers more than one invoice

This is the first thing I'd check.

Suppose your invoice says €2,640, but your payment confirmation says €3,180. It is very tempting to look at those numbers, frown meaningfully at the screen and declare that something has gone terribly wrong.

But the €3,180 payment may include that €2,640 invoice plus another invoice or balance.

Open the payment confirmation and check the invoice references connected to it. OTA Ninja's live checker does the same thing when you provide the corresponding files.

If everything suddenly adds up, excellent. Mystery solved. You may now return to the glamorous life of actually running a tour business.

2. Check the commission and payment modifiers

Commission is an obvious place to look when the payout is lower than you expected, but don't rely entirely on the percentage you remember agreeing to six months ago while eating lunch and answering fourteen messages.

GetYourGuide's current commission breakdown can include pricing-category rates and payment modifiers. It specifically lists additional charges associated with twice-per-month payouts as an example of a payment modifier.

GetYourGuide also states that choosing bi-weekly payments adds 2 percentage points to the commission rate.

That does not mean your commission is wrong. It means that if a booking looks odd, check the rate and modifiers actually applied to that booking rather than relying on the number stored somewhere in the back of your brain.

Mine is usually stored next to “where did I put my glasses?”

3. Look for manual adjustments

Here's another little creature hiding in the long grass: manual adjustments.

GetYourGuide describes these in the invoice Excel file as corrections made for missing payments or other issues. The same spreadsheet can also contain additional information from GetYourGuide staff explaining what a payment entry relates to.

An adjustment can therefore explain why the final payout does not match the simple total you had in your head.

This is also why staring only at the grand total is not always very helpful. The total tells you that something changed. The booking rows have a much better chance of telling you where it changed.

4. Check cancellations, reversals and cancellation compensation

Cancellations are another area where things can become confusing with impressive speed.

GetYourGuide's invoice documentation uses statuses including Normal, Reversed and Reversal. It also explains that supplier cancellation compensation can appear as a negative commission adjustment in certain circumstances.

The useful bit for us is not memorising all of this like we're revising for a particularly miserable exam. It is checking whether one of those entries is affecting the payout you're trying to understand.

If a strange amount appears, find the booking reference connected to it. Then trace that same reference through the invoice and payment confirmation.

“Booking GYG123456789 changed by €36. Can you confirm why?” is considerably more useful than “my payout looks funny.”

Both may be true. Only one gives support something useful to investigate.

5. Check VAT or tax on GetYourGuide's service

Depending on your business and jurisdiction, GetYourGuide's invoice can also contain VAT or similar tax on its service commission.

That can produce a difference between the quick mental calculation of bookings minus commission and the amount actually due.

Check what is shown in the invoice rather than guessing. And if you're unsure about the tax treatment for your own business, use somebody qualified to advise you locally.

6. If the GetYourGuide payment matches but the bank doesn't, look at the bank stage

This distinction is a big one.

The difference appears after GetYourGuide's payment stage.

GetYourGuide says the amount finally received can be affected by currency-conversion fees, receiving-bank charges, intermediary-bank fees and SWIFT or wire-transfer fees.

So if the payment confirmation matches what you expected but your bank received less, don't immediately start pulling apart every booking on the invoice. The change may have happened later.

7. Check for a booking that simply isn't there

Sometimes the total is not lower because of one dramatic deduction. Sometimes a booking is simply missing from the set you're comparing.

If you're expecting a particular booking to be included, search for its GetYourGuide booking reference in the invoice Excel file and payment confirmation Excel file.

If it isn't where you expected, ask the boring but useful questions first:

  • Was the activity date inside this invoice period?
  • Was the booking cancelled or reversed?
  • Did it move into another invoice or payment run?
  • Is there a manual adjustment linked to it?
  • Does the payment confirmation cover a different set of invoices?

The important thing is not to leap directly from “I can't find this booking” to “GetYourGuide has stolen my money and I shall now type an email entirely in capital letters.”

Tempting, I know.

Trace the booking first. Then you have something useful to question.

8. Make sure the payment is actually finished processing

Another surprisingly easy trap is comparing documents while the payment is still moving through the process.

GetYourGuide says an invoice with Payment in Progress normally changes to Paid within about 2 to 7 business days, depending on the payment method. It also says a payment confirmation can take up to another 3 business days after the payment is issued to appear, while the money may take up to 7 business days to reach the bank.

So if you're checking everything while the payment is still being processed, you may simply be a little early.

I appreciate this is not nearly as exciting as uncovering an international financial conspiracy, but it is considerably easier to fix.

I'd look more closely once you have the relevant completed documents and something still doesn't reconcile.

  1. Make sure the invoice and payment confirmation actually belong together.
  2. Check whether the payment covers more than one invoice.
  3. Look at commission, modifiers, tax, cancellations, reversals and manual adjustments.
  4. Trace individual booking references if a booking appears to be missing.
  5. If GetYourGuide's payment is correct but the bank amount is lower, investigate bank charges or currency conversion separately.
  6. If the difference still doesn't make sense, run the payout through OTA Ninja or prepare the exact references and amounts for GetYourGuide Supplier Support.

Don't start with:

“Why is my payout wrong?”

Try to get to something more like:

“Invoice GIS-XXXX shows €3,280, payment GPS-XXXX shows €2,780, and I can explain €350 of the difference. I still have €150 unexplained.”

Now you've got something.

Frequently asked questions

Why doesn't my GetYourGuide invoice match my payment?

The amounts can differ for legitimate reasons. A payment confirmation can cover more than one invoice, while commission, adjustments, cancellations, reversals, VAT on GetYourGuide's service and other entries can affect the amounts being compared. Find the first point where the total changes.

Can one GetYourGuide payment cover multiple invoices?

Yes. GetYourGuide's supplier documentation says a payment confirmation contains the invoice number or invoice numbers included in the payment. Comparing only one invoice with the whole payment can therefore create an apparent mismatch.

Why is the amount in my bank lower than my GetYourGuide payment confirmation?
